Specialized Medical Services, Inc. (SMS) is a leading provider of quality oxygen products and consulting services to the long-term care industry. We are dedicated to improving the lives of patients and improving the financial and clinical results of health care organizations. An immediate opening is available for a full-time Administrative Assistant to join our team. Hours will be Monday thru Friday, 8:00 am - 4:30 pm, with a 1/2 hour lunch. This position is located in Milwaukee near US 45 and Silver Spring Drive.
This position will provide administrative support for the CEO and CFO. Specific responsibilities will include:
-Provides administrative support to the CEO and CFO. Provides administrative support to other management staff as requested.
-Types/revises respiratory services agreements and associated documents upon request from President. Maintains contract files.
-Tracks status of various company licenses (pharmacy, sales tax, etc), scans and organizes licenses, and informs VP of Strategic Initiatives when any licenses are due for renewal.
-Performs receptionist duties, including welcoming visitors and answering calls
-Sorts and delivers mail and faxes
-Copies checks and lockbox information, and prepares daily deposit. Replenishes monies in petty cash, as necessary.
-Orders and receives office/kitchen supplies. Places supply orders and service calls on copiers and fax machines, as necessary.
-Prepares mailings and handles service order requests for postage meter
-Coordinates the company’s stationery needs (business cards, letterhead, envelopes). Obtains quotes from outside vendors, places initial orders and subsequent re-orders.
-Coordinates assigned office events.
-Assists with month-end billing tasks as needed.
-Other duties as assigned
Successful candidates will have at least 3-5 years of administrative support experience; administrative experience supporting executive level strongly preferred. High school diploma or equivalent required with some college or related business courses preferred. Strong computer skills required; experience with Microsoft Office Word, Excel, and Outlook required. Professional demeanor plus excellent organizational, analytical, and communication skills, ability to take initiative, problem solve and work autonomously required. Strong keyboarding skills required; at least 55 wpm preferred. Strong attention to detail required.
